HR Associate - Immigration & Hiring Coordinator top ↑
Function Statement/ Summary of Duties:Coordinates J-1 and H1-B visa processes and permanent residency applications for the College of Arts and Sciences (ASC); serves as liaison between hiring units, new or continuing employees, and e-Scholar, Legal Affairs, OISS and USCIS as needed; coordinates collection of forms and documents required for immigration processing; reviews document packets for completeness/correctness; serves as initiator for information entry into e-Scholar database; coordinates H1-B and employment authorization document (EAD) renewals for current faculty and staff; assists with faculty and staff hiring process in the Business Services Center for the College of Arts and Sciences; coordinates new position descriptions and position description updates with hiring units; manages job requisition process for open positions; serves as liaison to hiring unit and faculty and staff to coordinate in processing for employees; enters new appointments in HRIS; assures compliance with College, University, state, and federal guidelines.
Essential Duties:- Twenty percent (20%): Serves as liaison between ASC units, short-term visitors, new and continuing faculty and staff and the Office of Legal Affairs, the Office of International Students and Scholars (OISS), and the United States Citizenship and Immigration Service (USCIS) as needed for immigration processing; works with new employee and hiring unit to determine best course of action to ensure receipt of work authorization in a timely manner; collects necessary forms and documents from employee and unit to complete immigration processing; verifies accuracy of information before submitting; follows-up as needed and provides status updates concerning immigration processing to visitor/employee and/or unit; establishes and maintains reminder system and coordinates timely renewal of H1-B visas and EADs to ensure continued employment eligibility and updating of I-9s as needed; serves as point of contact for e-Scholar; coordinates with hiring unit for offer letter; enters information into e-Scholar data base; obtains materials from OISS to forward to visitor; communicates with hiring unit when materials are available and hire can be made.
- Five percent (5%): Keeps current with USCIS, OISS, and Legal Affairs policies and procedures , as well as federal law pertaining to I-9s; serves as subject matter expert and advises college faculty and staff on immigration matters; may back-up or train other human resources professionals.
- Fifteen percent (15%): Coordinates hiring process from start to finish; determines need for new position in the system; assists hiring unit with writing position descriptions as needed; reviews current position descriptions and coordinates updates; enters position data and description updates into the Human Resources Information System (HRIS); ensures workflow of position updates for approval.
- Ten percent (10%):Coordinates job posting process for hiring unit; creates job requisitions, noting candidates for “pounded” positions; may prescreen applications for staff positions; may assist with selection process; may assist with external advertising.
- Forty-Five percent (45%):Serves as liaison between hiring unit and new employee for pre-hire interactions; communicates with hiring unit on specifics of appointment; works with new employee to obtain necessary in-processing documents; verifies completeness of new employee documents; provides information; utilizes the HRIS to process all hires and rehires; communicates with new employees regarding direct deposit, ePayroll, parking, employee ID, and dispensation of other new employee information to ensure efficient establishment of new faculty and staff; submits forms to the Office of Human Resources as appropriate.
- Five percent (5%):Other related duties as assigned; duties expected to evolve as Business Services Center develops.
Bachelor’s degree and 3 years human resources experience, or an equivalent combination of education and experience; proficiency with visa processing and OSU HRIS, as well as knowledge of OSU personnel policies and procedures preferred; PHR certification preferred; considerable knowledge of Arts and Sciences policies, rules and regulations.
Fiscal Associate - Procurement Specialist top ↑
Function Statement/ Summary of Duties:Under the direction of the Services Center Manager, provides primary procurement support to the Arts & Sciences (ASC) Business Services Center; responsible for the system initiation of procurement transactions including payment requests, travel reimbursements, procurement card reallocation, requisitions and purchase orders submitted by ASC units while ensuring all University and ASC policies and procedures are followed; ensures all supporting documentation conforms to the University guidelines; serves as point of contact to faculty and staff on appropriate procurement procedures; works as a team member of the Service Center to provide high customer service to the faculty and staff ensuring processing is timely, efficient, accurate, and in compliance; provides back-up HR support; participates in special projects and other duties as assigned.
Essential Duties:- Forty percent (40%): responsible for the system initiation of travel reimbursements ensuring compliance with all university and Arts and Science guidelines; resolves any travel issues with department liaisons.
- Twenty-five percent (25%): responsible for the reallocation of p-card transactions ensuring compliance with all university and Arts and Science guidelines; responsible for any necessary journal entries for p-card clearing account.
- Twenty percent (20%): responsible for the system initiation of PREP transactions including reimbursements, and other payments as defined on the established University Purchasing convenience order list.
- Ten percent (10%):provides support for HR functions of the Service Center when needed.
- Five percent(5%) : participates in special projects and other duties as assigned duties; duties expected to evolve as Business Services Center develops.
Required: Bachelor’s degree or an equivalent combination of education and experience; considerable knowledge of university policies, rules and regulations; experience using procurement principles and applications; experience utilizing the university’s PeopleSoft procurement systems; strong communication skills and ability to work in a team-oriented environment.
